We believe that the key to happy clients and launching is having a clear process in place. We are sharing how we do it! Let’s get into it…

The Discovery Call
We always get on a call with leads. Leads can get to this point a few ways. Through our Inquiry page on the website or by direct email but either way we get on call that’s scheduled through Acuity. After booking the client gets an email with a Welcome pdf and a Zoom link for the meeting. The Welcome pdf has details on how we work and our process.
Proposal, Contract & Invoice
After we get off the call and the lead is interested we send a proposal, contract and invoice which are all in Dubsado and happen automatically after each one is signed.
On Boarding Welcome Email
After the client makes their deposit they get an On Board Welcome email. In this email we have the next steps which includes:
Access to their own client portal in Dubsado that has all the legal docs and homework.

Brand Clarity Questionnaire - we have gotten great feedback on this because it gets the clients thinking about where their business is now and where they want to be.

In Google Drive:
Content Guide for each page of their website in Google Drive. We used to also have this in Dubsado so everything was in one place but we like using google docs to make edits and suggestions together in the actual document.
The content is an outline of each page with a series of questions and tips. The answers prompt the content for the website. It gives the client guidance instead of just saying, “write a bio” and then them ghosting for another week.
Other notes in the email:
Asana - Within 2 days they will receive an email invitation to Asana to follow along the project timeline with a video overview of what it looks like in Asana. This keeps everyone on the same page and that we launch on time! Gone are the days when a project drags on foreeever.
Communication - the best way to communicate with us so that we get back to you quickly and we aren’t getting messages in random places like Facebook that are a distraction.

In Asana, you can see how we have the project broken down in this video. We tried to make this simple for the client to understand. The last thing we want is for the client to open up their project and feel overwhelmed with all the tasks and due dates. The project is broken down to:
Getting Started - All the on boarding docs
Homework - All assignments and information we need from them.
Project Scope - Breakdown of reviews and feedbacks
Post Launch - Deliverables, testimonial, etc.
Design and Develop
The fun part! We now work so that we show the logo, branding and home page of the website in one swoop. We feel that seeing it all together is more effective than showing just the logo & branding then after approval moving to the website. Clients love seeing how it all looks and works together. This also moves the project along a bit quicker.
Launch
We use a website checklist to make sure all our t’s are crossed before and shortly after launch. This checklist is also given to the client so they can double check. The checklist also includes information about blogging, e-commerce etc. in case they ever wanted to implement later.
Deliverables
All design assets are put into their google drive folder. For logos this is the original eps file, high resolution png, all in black, white and color. They also get design elements used on their website in Canva. If they are new to Canva they get a how-to video. We also give them a how-to video on using their Squarespace website. Lastly we follow up with a testimonial request and let them know about our referral program.
Client Gift
But wait, there’s more! We use curated boxes for our clients from Boxed Gifted Co., Fox Box but as of late we have been curating our own branded gift boxes. Customized with Printed Mint.
So there you have it! It is a process that has evolved over time and will continue to evolve as we work with clients, get feedback and systems improve.
